Privacy Policy
Last updated: October 20, 2026
This Privacy Policy explains how Mint Chill LLC ("MintChill", "we", "us") collects, uses, and shares information when you visit mintchillcigars.com (the "Site"), buy from us online, for local delivery, for pickup at a partner location, or at one of our events, or contact us. We sell age-restricted tobacco products, so some of the data practices described here exist because the law requires them. This policy is part of, and is governed by, our Terms of Service, including its dispute resolution section.
Information We Collect
- Account information. If you create an account, sign-in is handled by Microsoft's identity platform (Microsoft Entra), which also lets you sign in using a third-party account such as Google. When you sign in that way, that provider confirms your identity and shares your name and email address with us. We store your name, email address, and order history.
- Order information. Your name, email address, shipping and billing addresses, phone number, the products you purchase, order totals, and, if you choose to tell us, how you heard about us. If you arrive through a referral link, QR code, or marketing link, we record the referral or campaign source with your order.
- Local delivery, pickup, and in-person purchases. For local deliveries, pickups at partner locations, and purchases at our pop-up events, we collect the order details needed to hand your order to the right adult, such as your name, order or pickup code, and the location.
- Event bookings. If you inquire about or book on-site cigar service for a private event, we collect your contact details, event and venue information, and the signed event service agreement. Agreements are signed either by returning a signed copy to us or, when we use it, through our e-signature provider, SignWell, under its own privacy policy.
- Age verification. Age verification is performed by our verification provider, AgeChecker.net. Depending on the check, AgeChecker may collect your name, address, date of birth, and (if automatic verification fails) a photo of your government-issued ID. That information is collected and processed by AgeChecker under its own privacy policy. We receive the result of the check and a verification reference number, not your ID documents.
- Payment information. Payments are processed by Authorize.Net. Your card number is entered directly on Authorize.Net's secure hosted payment page; we do not receive or store your full card number, and we keep only a transaction reference. Your name, contact details, and billing and shipping addresses are sent to Authorize.Net to process the payment, screen for fraud, and issue receipts.
- Proof-of-delivery photos. For local deliveries we may photograph the handoff at your door, because tobacco products may only be handed to an adult 21 or older. The photo may show your doorway or the area immediately around it. It is stored privately, is not published, and is made available only to you and to us, through links that are designed to expire.
- Requests, alerts, and messages. If you submit a cigar request, sign up for a back-in-stock alert, use our live chat, or email, call, or text us, we keep that information and the conversation so we can respond, fulfill your request, and refer back to it.
- Usage, device, and diagnostics. Like most websites, our servers and service providers receive technical information such as your IP address, browser and device type, and the pages you request. We use Azure Application Insights to collect page views, performance metrics, and error reports so we can keep the Site working and secure. This is first-party telemetry sent to our own Azure account.
- Site analytics. We use Google Analytics and Microsoft Clarity to understand how visitors find and use our Site, so we can improve it. These services collect information such as the pages you visit, how you arrived (for example, from a search engine, social media post, or link), your device and browser type, your approximate location (city or region, derived from your IP address), and the products you view, add to your cart, and purchase, including order totals. Microsoft Clarity also records how you interact with pages (clicks, scrolling, and mouse movement) to produce heatmaps and session replays. We configure these tools so that we do not send them your name, email address, phone number, or street address, so that Clarity does not record what you type into form fields, and so that the text on our checkout, account, and order pickup pages is hidden from its recordings. These settings are designed to keep that information out of the tools, but we do not control how Google and Microsoft operate their services, which they provide under their own privacy policies, described below.
Cookies and Local Storage
We do not use advertising cookies, and we do not use your information to show you ads on other websites. The Site sets the following:
- ai_user, ai_session: Application Insights cookies used to count visitors and sessions for diagnostics.
- _ga, _ga_*: Google Analytics cookies that distinguish one visitor from another and group visits into sessions. They expire after up to two years.
- _clck, _clsk: Microsoft Clarity cookies that connect page views from the same visitor and the same session. Clarity may also set cookies on its own domain (clarity.ms) and on Microsoft domains. These cookies expire after up to one year.
- Browser local storage: your shopping cart, applied promo code, referral source, recently viewed products, age-gate acknowledgment, chat session, and sign-in session are kept in your browser's local storage so the Site works between visits. This data stays on your device.
Our Site does not currently respond to browser "Do Not Track" signals. Because we do not sell your personal information or use it for targeted advertising, there is nothing for those signals to opt you out of.
How We Use Information
- To process, verify, ship, deliver, hand over, and support your orders.
- To verify that you are 21 years of age or older, as required by law.
- To prevent fraud, underage purchases, and misuse, and to secure the Site.
- To understand how visitors find and use the Site, measure our marketing and referral programs, and improve the shopping experience.
- To respond to your questions and requests, and to send the order updates, receipts, and alerts you ask for.
- To comply with tax, reporting, and recordkeeping obligations for tobacco sellers.
- To enforce our Terms of Service, protect our rights and the rights and safety of others, and establish, exercise, or defend legal claims, including working with our insurers and professional advisors.
Who We Share Information With
We do not sell your personal information, and we do not share it for targeted advertising. We share it only as described in this policy:
- Authorize.Net, to process payments.
- AgeChecker.net, to perform age verification.
- Shipping carriers and EasyPost, our shipping-label provider, to deliver your order.
- Partner locations, whose staff see the order details you present at pickup so they can hand over the right order to the right adult.
- SignWell, when we use it to sign event service agreements for catering bookings.
- Identity providers you choose (such as Google), to authenticate your sign-in.
- Microsoft Azure, which hosts our Site, database, email, and sign-in infrastructure.
- Google (Google Analytics) and Microsoft (Clarity), for the site analytics described above. We do not send either of them your name, email address, phone number, or street address. Google's use of this data is described at policies.google.com/technologies/partner-sites, and Microsoft's in the Microsoft Privacy Statement.
- Government agencies, where required by law. Federal and state laws governing delivery sales of tobacco products (including the PACT Act and state equivalents) require us to report certain sales to state tobacco tax administrators. These reports can include the purchaser's name, address, and the products and quantities purchased.
- Legal and safety disclosures. When we believe in good faith that disclosure is required by law, subpoena, or legal process, or is needed to prevent fraud or underage sales, protect anyone's safety, or protect or defend our rights and property.
- Professional advisors and insurers, such as our attorneys, accountants, auditors, and insurance carriers, under duties of confidentiality.
- Business transfers. If MintChill is involved in a merger, sale of assets, financing, or reorganization, your information may be transferred as part of that transaction, subject to this policy.
- Others, with your consent or at your direction.
These third parties handle your information under their own terms and privacy policies, and we are not responsible for their practices.
How Long We Keep Information
We retain order and customer records for at least as long as federal and state tobacco, tax, and recordkeeping laws require, and thereafter for as long as we reasonably need them for accounting, legal, insurance, and dispute purposes. Chat conversations and other messages are retained so we can provide support and may be deleted on request where no legal or business need requires keeping them. Google Analytics keeps the analytics data described above for 14 months, and Microsoft Clarity keeps session recordings for up to 30 days and summary data for up to 13 months.
Your Choices and Rights
You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it by emailing support@mintchillcigars.com. We will need to verify your identity before acting on a request, and we may decline or limit a request where the law allows, including where we must keep information to meet legal, tax, or recordkeeping obligations, prevent fraud, or resolve disputes. Depending on your state of residence, you may have additional rights under state privacy law, and we will honor them where they apply. If we deny a request under a state law that provides an appeal, you may appeal by replying to our decision.
You can unsubscribe from back-in-stock alerts using the link in any alert email. We will still send order-related messages, such as receipts and delivery updates, while you have an open order.
You can opt out of analytics by blocking or deleting cookies in your browser settings, or by installing the Google Analytics Opt-out Browser Add-on. The Site keeps working normally if you do.
Age Requirement
This Site is intended solely for adults 21 years of age or older. We do not knowingly collect information from anyone under 21, and we do not knowingly collect any information from children under 13. We cancel any order that fails age verification, and if we learn that we hold information about someone under 21 that we are not required to keep, we will delete it.
Security
We use encryption in transit, access controls, and reputable infrastructure providers to protect your information. However, no website, transmission, or storage system is completely secure, and we cannot guarantee the security of your information. You are responsible for keeping your sign-in credentials and devices secure. Email, text, and chat are not secure channels, so please do not send us ID images, card numbers, or other sensitive information that way. If a security incident affects your personal information, we will notify you as required by law.
Third-Party Sites and Services
The Site links to, and relies on, services operated by others. This policy does not cover their practices, and we encourage you to review their privacy policies.
Where We Operate
MintChill operates only in the United States and sells only to U.S. addresses. Your information is processed and stored in the United States.
Changes to This Policy
If we make material changes to this policy, we will update the date at the top of this page, and you will be asked to accept the current policy at checkout. Continued use of the Site after changes take effect constitutes acceptance of the updated policy.
